Opendock Nova's appointment statuses are a predefined list of the different stages of an appointment's lifecycle. They help effectively manage and track appointments, ensuring smooth operations and clear communication between all parties involved.
Our standardized appointment statuses are designed to provide clear insights into carrier and warehouse performance through score carding and enable you to integrate your appointment data across multiple systems.

1. Requested (Optional)
Choose the starting status for your appointments in the "Appointment Statuses" option under the My Organization page. Select "Requested" for newly created appointments.
When saved, new appointments created via the carrier or warehouse portal will begin in the "Requested" status, allowing warehouse staff (Owners, Admins, or Operators) to approve or cancel the appointment.
- To approve, click "approve and schedule." To decline, click "cancel appointment" at the bottom.
Appointments made in the carrier view will show as "Requested" until moved to "Scheduled" or "Cancelled."
Important Note: This is an OPTIONAL status that is also a "starting" status. I.e. an appointment can optionally be created in the "Requested" status. It is not doing anything "deep" - it's just selecting the default starting status (if not is supplied via API).
If you'd like your appointments to automatically be created as "Requested", change the Org setting accordingly. If you'd like the original behavior (default) of creating appointments in the "Scheduled" status, leave the setting as it was. Note that changing this setting has no bearing on existing appointments - it simply controls what status any NEW appointments are created in.
2. Scheduled
The "Scheduled" status indicates that the warehouse is awaiting the carrier's arrival. Warehouse users can track carrier ETA under 'Schedule'. Carrier users can also update their ETA via the Carrier Portal. See here for details.
3. Arrived
The "Arrived" status is used when the carrier has reached the dock. Warehouse users can track arrival and departure times under 'Arrived'. See here for details.

3. In Progress (Optional)
The "In Progress" status indicates that the truck is at the dock, and the loading/unloading process has begun. This status helps track the active phase of an appointment, providing valuable information for warehouse users.
To enable this, go to the My Organization tab. Under 'Appointment Statuses', select "In Progress" for status that follows Arrived.
The "In Progress" feature will also display the total time between "Arrived" and "In Progress" on the Status Timeline. This is defined as the "Wait Time" to help you understand how long a carrier waited after they arrived at your facility.
In TV Mode, the "Processing" time will also be displayed. This is the amount of time that has elapsed since the appointment was marked "In Progress". This is to help your team see how long they have been working on an appointment. A countdown clock will also be displayed on the right side to show the time remaining based on the appointment's duration.
4. Completed
The "Completed" status signifies that loading/unloading is finished, and the appointment is complete. Warehouse users can add the exact completion time by clicking the pencil icon.
The "Arrived," "In Progress" and "Completed" statuses can be edited by clicking the pencil icon.
5. Cancelled
Canceling an appointment signifies that the scheduled event will no longer occur as initially planned. Carriers can cancel appointments as long as they adhere to the Carrier Lead Time setting and provide a reason for the cancellation. Check out this article on Lead Time.
Once marked as "Cancelled," neither the carrier nor the warehouse can reverse this status. Cancelled appointments are considered closed and cannot be rescheduled, or moved to a different status. However, they can be cloned if necessary to create a new appointment. Check out this article on Cloning Appointments.
On the calendar grid, canceled appointments are visually distinguished by a gray color to denote their inactive state. Importantly, canceled appointments no longer occupy their original time interval, allowing for other appointments to be scheduled in their place.
6. No Show
The "No Show" status is used when a carrier fails to arrive at the scheduled appointment time without prior cancellation or rescheduling. This status helps warehouse operators and other stakeholders keep track of missed appointments and gain insights into carrier performance and reliability.
Note: The system does not automatically mark appointments as "No Show". If you would like to automate this process, we highly recommend building an API integration. Feel free to share our API documentation with your engineering resources.
Undoing status
Undoing a status refers to the action of reverting an appointment to its previous status. This feature allows users to correct any errors or accidental changes made to an appointment's status.
An accurate appointment status history is crucial for analyzing and assessing performance, as well as making informed decisions. The ability to undo a status helps ensure that your data remains reliable and reflects the actual progression of each appointment.
